ABOUT THE ROLE
As our Receptionist, you will be the friendly face and welcoming presence of our company. Your main responsibilities will include managing the reception area, coordinating overall office requirements with various departments, and providing excellent customer service, handling vendor management and relationships. Additionally, you will need to maintain a high level of professionalism and discretion when dealing with sensitive information. RESPONSIBILITIES (includes but not limited to)
Welcome and receive guests with a friendly and warm demeanor.
Receive and send packages and deliveries, maintaining accurate records.
Coordinate with suppliers for various services, such as cleaning, stationery, and telecommunication needs.
Manage pantry supplies and office equipment, ensuring availability and proper functioning.
Tracking and managing office expenses, ensuring accurate records and cost efficiency.
Coordinate office equipment requirements with the IT department.
Collaborate with other departments, including IT, HR, and Finance, to support day-to-day operations.
Manage relationships with vendors, service providers, and landlords.
Ensure timely payment of invoices for various services, such as plant maintenance, office cleaning, subscriptions, etc.
Handle contract and price negotiations with office vendors and service providers.
Maintain a professional and discreet approach when handling sensitive information.
SKILLS & EXPERIENCE
Proficiency in English (verbal and written) is essential. Additional language skills are a plus.
Proven experience as a Receptionist or in a similar customer service role.
Excellent communication and interpersonal skills, with a friendly and welcoming demeanor.
Strong organizational and multitasking abilities.
Resourcefulness and problem-solving abilities.
Attention to detail and ability to maintain accurate records.
Previous experience in managing office expenses or inventory is preferred.
Proficient in using office equipment and basic computer software (e.g., MS Office).
Ability to work independently and as part of a team.
