The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required
Responsibilities
· Guest/s Log smartsheet should be updated accordingly.
· Coordinating the interviews with HR Department, assisting them in taking the CVs and checking the email appointment from one of our HR Executive.
· Offering Refreshment to the guests.
· Serves clients by greeting, welcoming & directing them appropriately to the concern agents/employee.
· Coordinating with the concern agent/employee if they’re expecting clients and arranging the meeting room for them.
· Answer and address incoming phone calls in a timely and polite manner
· Clearly determine the purpose of the call, and forward calls to appropriate person
· Deal with queries and provide correct information
· Take and deliver messages accurately and completely sort and distribute incoming mail
· Prepare outgoing mail for pick-up or courier
· Arranging courier services through Aramex such as arrangements between us and the client, preparing airway bill/ receipts, preparing the documents and maintaining the supplies of Aramex.
· Perform clerical receptionist work such as filing, photocopying, scanning and faxing.
· Assisting colleagues in scanning & photocopying, documentation soft & hard copy for filing when needed.
· Maintain equipment and report any malfunctions
· File documents accurately
· Upon checking-in in the morning, lights in the reception & TV/s with PSI Videos should be switch-on in the meeting room. Maintains the PSI videos playing in the TV/s.
· Should be aware of the whereabouts of the driver & office boy in case of any urgent request by the Management.
· Maintaining safe, clean and order in the reception area by complying with the company procedures, rules and regulations.
· Coordinating between employees and IT department with the below issues:
Network login failure
Land phone failure
Printing & scanning machine failure
· Coordinating with the office boy upon request by the employees and Managers
Qualifications
– Proven work experience as a Receptionist, Front Office Representative or similar role
– Proficiency in Microsoft Office Suite
– Hands-on experience with office equipment (e.g. fax machines and printers)
– Professional attitude and appearance
– Solid written and verbal communication skills
– Ability to be resourceful and proactive when issues arise
– Excellent organizational skills
– Multitasking and time-management skills, with the ability to prioritize tasks
– Customer service attitude
